A scenario-by-scenario guide to setting up accounts, fields, and locations in the iCHASE Dashboard — from first-time device sales to inventory transfers and registering corrections.

Glossary

Three terms every scenario below depends on
Customer ID

The account identifier for a customer or dealer — e.g. the login account created for Dealer A or End User A.

Field ID

The name of the farm — e.g. ABC Dairy Farm.

Location ID

The name of an install site. It distinguishes multiple cameras at the same farm — e.g. East Feed Alley Camera vs. West Feed Alley Camera.

Worked example iCHASE Dairy Cooperative bought 2 lasers for ABC Dairy Farm and 3 lasers for DEF Dairy Farm. Its account ends up managing: 1 Customer ID2 Field IDs5 Location IDs

Follow the steps in order for the situation you're in

A

First sale, sold through the same day

Setup flow

Main Distributor sells to Dealer A for the first time, and Dealer A sells straight through to End User A.

B

Sold as inventory, resold in stages

Setup flow

Main Distributor sells to Dealer A as stock. Dealer A then places that inventory with End User A's farms over the following months.

  2. Dealer A creates the 1st Field ID (e.g. 1st Dairy Farm). Watch: Create Field ID
  3. Dealer A creates the Location ID — one camera maps to exactly one Location ID. Watch: Create Location ID
  4. Once the device is installed and online, sync the Location ID in Command Studio.
B‑3~2 months later still · sold to End User A's 2nd farm
End User A must provide

  1. Dealer A moves the sold device to End User A's account via Dashboard → Management → Transfer. There's no batch-transfer option yet — each device is moved individually. Watch: Transfer Device Permissions
  2. Dealer A creates the 2nd Field ID (e.g. 2nd Dairy Farm).
  3. Dealer A creates the Location ID — one camera maps to exactly one Location ID.
  4. Once the device is installed and online, sync the Location ID in Command Studio.
B‑4~2 months later still · 2 more lasers sold to End User A's 1st farm
  1. Dealer A moves the 2 newly sold lasers to End User A's account via Dashboard → Management → Transfer. There's no batch-transfer option yet — each device is moved individually. Watch: Transfer Device Permissions
  2. Dealer A creates 2 Location IDs for End User A — be careful to register them to the correct Field ID.
  3. Once the devices are installed and online, sync the Location IDs in Command Studio.
C

Field ID created under the wrong account

Correction

A Field ID ended up on the wrong account.

  1. No need to delete the incorrect Field ID — just create a new, correct one under the right account.

Restocking a dealer who already has an account

Setup flow

Main Distributor sells more inventory to Dealer A, who already has an account from a previous order.

  1. Main Distributor moves the newly sold devices to Dealer A's account via Dashboard → Management → Transfer. There's no batch-transfer option yet — each device is moved individually. Watch: Transfer Device Permissions
E

RMA — replacing an End User's unit

Correction

End User A's device needs to go through the RMA process and be swapped for a new unit.

This step can currently only be handled by iCHASE staff — please contact iCHASE Support to proceed.
F

Wrong device assigned to a new account

Correction

While creating a new user account, the wrong device was assigned to it.

  1. Unregister the misassigned device via Dashboard → Management → Return.
  2. Use Transfer to register the device to the correct account. Watch: Transfer Device Permissions
G

Right S/N, wrong Field ID

Correction

While creating a Location ID, the correct S/N was selected but bound to the wrong Field ID.

  1. Create a new Location ID and select the correct Field ID. Watch: Create Location ID
  2. The page will prompt “Replacing the existing registering” — choose YES to complete the registering.

Wrong S/N, right Field ID

Correction

While creating a Location ID, the correct Field ID was selected but bound to the wrong S/N.

  1. Create a new Location ID and select the correct S/N and Field ID to complete the registering. Watch: Create Location ID
  2. Next time the incorrect S/N is bound, the page will prompt “Replacing the existing registering” — choose YES to complete the registering.

Changing a Dealer or End User's password

FAQ

While creating accounts for a Dealer or End User, how do you teach them to change their own password?

  1. They can reset their password via Dashboard → Account → My Profile.
  2. This page lets them update their password and other basic account details.

Does cloud billing start as soon as an account is opened?

FAQ

A distributor asks whether cloud billing begins immediately after an account is created.

  1. No — cloud billing only starts automatically once the device has been installed and connected to the network.
